Position Summary: The overall purpose of this job is to oversee and manage all aspects of testing activities at the college, ensuring tests are administered effectively, efficiently, and in accordance with established standards. This role involves planning, scheduling, and coordinating testing events, managing testing materials, and ensuring a secure and supportive testing environment. The position assists with the management of the Academic Testing Center on all campuses, creating reports, managing personnel, and acting in the Director’s absence.

Essential Functions:

55% Test Administration

  • Coordinates the logistics of test administration, including securing testing locations, arranging for proctors, and distributing materials. 
  • Develops and maintains test plans, schedules, and calendars, ensuring alignment with college timelines and objectives. 
  • Ensures the secure handling, storage, and distribution of test materials, including booklets, answer sheets, and online access codes. 
  • Oversees the setup and maintenance of testing environments, ensuring they are conducive to testing and compliant with accessibility requirements. 
  • Maintains testing statistics and reports on testing outcomes to relevant stakeholders. 
  • Facilitates communication between testing stakeholders, including students, instructors, administrators, and testing agencies. 
  • Works with the Director to develop, modify, update, and interpret testing policies.
  • Works with the Director to ensure adherence to all relevant testing policies, procedures, and regulations, including those of the college, third-party testing agencies, and the National College Testing Association (NCTA). This includes adherence to FERPA as it relates to college and testing services.
  • Ensures documentation is complete and up to date.
  • Successfully completes the requirements necessary to achieve certification to administer a number of standardized exams, such as CLEP, DSST, Pearson-Vue and HISET and administers exams as necessary.

20% Personnel

  • Coordinates the recruitment, hiring, training, and scheduling of temporary part-time (TPT) employees. Initiates employment contracts, monitors the TPT budget, and oversees the submission of timesheets for payroll.
  • Creates the staffing schedule for all campus locations for both full- and part-time employees.
  • Plans, schedules, and leads orientation, training sessions, and meetings.
  • Monitors proctor certifications for the National ACT, HiSET, Kryterion, and any other exams requiring certification. If necessary, ensures employees complete continuing education requirements for recertification.
  • Communicates important information with all personnel.
  • Evaluates, documents, and provides input for employees in areas for improvement; disciplines employees as necessary.
  • Conducts observations of staff and provides constructive feedback to ensure continuous improvement.

15% Management

  • Analyzes and reports from TutorTrac and Navigate to determine staffing needs at all campus locations.
  • Creates and distributes marketing materials.
  • Troubleshoots and creates solutions for problems that may arise with all ATCs
  • Report any issues that occur in all ATCs
  • Requests support from the Help Desk to resolve technology issues and to coordinate the upgrade or replacement of hardware and software.
  • Coordinates cross-department events and initiatives.
  • Develops and implements innovative academic programs that meet the evolving needs of students.
  • Manages the department in the Director’s absence.
  • Assist with other duties as assigned.

  • Attends meetings, conferences, and training  sessions related to academic testing.

Required Experience:

  • Bachelor’s degree. Required certification for exams such as the HiSET, CLEP, HESI, National ACT must be achieved within the six-month probationary period.
  • Four or more years of experience in an academic or professional testing environment.

Part-time work experience is calculated at 50% credit of full-time work experience.

Skills/Abilities:

  • Organizational and Time Management: Ability to manage multiple tasks, prioritize effectively, and meet deadlines.
  • Communication and Interpersonal Skills: Ability to communicate clearly and effectively with students, faculty, staff, administrators, test vendors, and representatives of accrediting bodies.
  • Problem-Solving Skills: Ability to identify and resolve issues related to testing administration.
  • Technical Skills: Familiarity with testing platforms and data management systems.
  • Knowledge of Testing Procedures: Understanding of standardized testing protocols and regulations.
  • A valid Tennessee driver’s license is required to travel to all campus locations.

Physical Demands: Position requires bending and stretching to reach shelves, lifting of materials (5-30 lbs), prolonged standing, constant visual and auditory monitoring of the testing areas, ability to use computer monitor and keyboard, ability to communicate with people at the service desk and over the phone, and ability to read print.
