JOB SUMMARY

The Advancement Coordinator supports the college’s fundraising and development efforts by working closely with the Director of Advancement to implement Foundation initiatives. This role manages donor stewardship and alumni relations, coordinates events and projects, and assists with budgeting, recordkeeping, and reporting related to fundraising activities. The Coordinator also supports communication with stakeholders and helps track the progress of development campaigns.

MINIMUM REQUIREMENTS / QUALIFICIATIONS

  • Bachelor’s degree from an accredited institution required.
  • Minimum of two years of professional related experience in donor development, nonprofit administration, project management, event planning, or higher education is required.

ESSENTIAL JOB FUNCTIONS

Donor and Trustee Relations (15%)

  • Provides regular communication to enhance donor and trustee engagement.
  • Develops and maintains relationships with major donors, trustees, and community leaders.
  • Coordinates communications, newsletters, and event follow-ups to strengthen relationships and visibility.

Fundraising and Campaign Coordination (15%)

  • Manages all college’s fundraising efforts, including events and campaigns, under the leadership of the Director of Advancement.
  • Coordinates annual campaigns such as the Cleveland State Family Campaign, Foundation Trustee Campaign, and Community Campaign.
  • Tracks campaign progress, donor participation, and revenue outcomes.

Evening With & Community First Events (10%)

  • Organizes the Community First Awards program, including updating materials and coordinating the selection of committee members.
  • Notifies committee members, previous winners, and other stakeholders when nominations open.
  • Receives and organizes nominations; facilitates and supports the committee throughout the selection process.
  • Contacts award recipients and performs related duties as needed to support the program.
  • Develops the “Run of Show” for the Evening With event.
  • Coordinates event logistics, including venue arrangements, meals, travel, and other related details.
  • Drafts the interview script and obtains approval from the featured speaker.

Donor Development and Recognition (10%)

  • Works with the Director of Advancement on donor development strategies and programs.
  • Oversees donor acknowledgment and recognition activities, including thank-you letters, events, and lifetime recognition milestones.
  • Manages communications with endowed scholarship contacts, major donors, and community figures.

Foundation Administration (15%)

  • Provides ongoing coordination for all functions related to the Foundation.
  • Prepares Board and committee meeting materials, agendas, and reports.
  • Maintains Foundation records, ensures compliance with Charter and By-Laws, and coordinates accounting and investment services.

Scholarship Management (10%)

  • Collaborates with Financial Aid to ensure scholarships are accurately disbursed.
  • Calculates amounts available annually based on endowment performance and donor restrictions.
  • Updates scholarship information and donor criteria as needed.
  • Provides report to donors annually

Budget and Financial Oversight (10%)

  • Manages creation and tracking of Advancement budgets.
  • Monitors expenditures and revenue from fundraising events and campaigns.
  • Provides budget reports and projections to the Director of Advancement and Foundation Board.

Marketing, Events, and Web Management (5%)

  • Maintains Foundation and fundraising websites.
  • Manages online promotion, registration, and ticketing for major events (e.g., Community First Awards, An Evening With, Mi Sueño dinner).
  • Ensures timely posting of donor recognition and campaign information.

Staff Supervision and Project Support (5%)

  • Provides supervision to the Advancement Specialist for bookkeeping and database management.
  • Supervises student workers who assist with Foundation activities.
  • Provides project coordination and tracking support for Advancement initiatives.

NON-ESSENTIAL FUNCTIONS (5%)

  • Performs other duties as assigned in support of division programs and the college.
  • Assists with college events, community relations activities, and special projects as needed.

KNOWLEDGE, SKILLS AND RESPONSIBILITIES

  • Exercise sound judgment and discretion when handling sensitive or confidential information.
  • Manage multiple projects and priorities independently while meeting established deadlines.
  • Communicate clearly and professionally, both verbally and in writing.
  • Demonstrate strong organizational skills and effective time management.
  • Maintain a high level of accuracy and attention to detail in all work.
  • Ability to adapt quickly to new technologies, systems, and processes.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and the Windows operating system.
  • Experience using donor or customer relationship management systems (e.g., Blackbaud) preferred.

WORK ACTIVITIES & EQUIPMENT

Work activities routinely involve the use of standard office equipment, including computers, printers, copiers, scanners, telephones, and other related devices. Employees are expected to perform tasks such as data entry, document preparation, email communication, and report generation using these tools.

JOB LOCATION

The primary workplace for this position is the Advancement Office at Cleveland State Community College in Cleveland, Tennessee. Occasional travel to off-campus locations within the College’s five-county service area may be required.
