JOB SUMMARY

The Assistant Director of Admissions oversees a diverse range of responsibilities essential to the seamless functioning of the admissions process at CSCC. This role encompasses administrative and personnel management, including supervising admissions staff, training personnel, and ensuring efficient processing of inquiries and applications. Additionally, the Assistant Director develops and implements CRM strategies to enhance student recruitment and engagement, collaborates with various departments to design targeted communication campaigns, and utilizes digital marketing tools for outreach. Social media and virtual engagement play a significant role, with the Assistant Director creating engaging content, organizing virtual events, and enhancing the college website for prospective students. Finally, non-essential functions such as attending college functions, serving on committees, and meeting accreditation standards are integral parts of this dynamic role, contributing to the overall success of CSCC's admissions efforts.

 

 ESSENTIAL JOB FUNCTIONS

Administrative & Personnel Management of Admissions (30%)

  • Manage all aspects of the prospect and admissions administrative operations to ensure effective and efficient processing of inquiries to applications for all student types.
  • Supervise the staff and the processing of prospects, admissions applications, transcripts, SAT/ACT scores, and other related documents.
  • Supervise, train, develop, and evaluate two Admissions administrative personnel, and student workers.
  • Provide cross- functional training among administrative staff.
  • Assist with reporting needs.

 

Customer Relationship Management (30%):

  • Develop and implement CRM strategies to enhance student recruitment, engagement, and retention.
  • Oversee the configuration, customization, and maintenance of Slate CRM system to meet organizational needs.
  • Collaborate with marketing, IT, and others to streamline processes and optimize system performance.
  • Train and support staff on Slate CRM usage, best practices, and data integrity standards.
  • Analyze data and generate reports to assess campaign effectiveness, student trends, and areas for improvement.

 

Communication Campaigns and Targeted Outreach (20%):

  • Act as the liaison between EdAmerica and various departments to design and implement communication campaigns to disseminate information about admissions, financial aid, deadlines, campus events, etc.
  • Collaborate with departments across campus to ensure consistent messaging and timely delivery of important updates.
  • Identify and focus on particular demographic groups ensuring that communication strategies and content are customized appropriately (i.e., nontraditional, veterans, etc.)
  • Utilize digital marketing tools and techniques to reach and engage with prospective students across various online platforms.
  • Work with Marketing to design a communication plan and contact strategies for prospects to applicants to admitted students to complete the enrollment process.
  • Create scripts for communication modes including telephone, email, and text messaging.
  • Ensure all digital and print material are accurate and current, including the website.

 

Social Media & Virtual Engagement (15%):

  • Work with Marketing to develop and execute a comprehensive social media strategy to promote enrollment events, campus life, and student success stories.
  • Create engaging content, including posts, stories, videos, and graphics, across various platforms (e.g., Facebook, Instagram, TikTok, LinkedIn).
  • Monitor social media channels, respond to inquiries, and cultivate meaningful interactions with prospective students.
  • Collaborate with the web development team to enhance the college website with interactive features, virtual tours, and multimedia content to create an engaging environment for potential students to fully experience CSCC.
  • Organize virtual information sessions, webinars, and Q&A sessions to engage with prospective students remotely and address their questions and concerns.

 

Non-Essential Functions (5%): 

  • Must attend all college functions as required. 
  • Serve on various college committees.
  • The appointee will be required to meet those standards now required or which in the future may be required by the Tennessee State Board of Regents and the Southern Association of Colleges and Schools Commission on Colleges.
  • The appointee may be required to achieve additional skill, knowledge, or credential levels. 
  • Perform other duties as assigned by supervisor.

  • Experience collaborating with cross-functional teams and stakeholders to align communication strategies with organizational goals.

 

JOB STANDARDS/QUALIFICATIONS

  • Bachelor’s degree from a regionally accredited college or university required.  Master’s degree preferred.
  • Three year’s related experience in higher education is preferred.
  • Previous experience in student services and demonstrated proficiency in use of Microsoft Office and Google Suite required.
  • Proficient in Microsoft software (Word, Excel, PowerPoint, etc.) and Google applications.
  • Knowledge of Banner software is preferred.
  • Demonstrated experience in social media management, content creation, and digital marketing.
  • Proficiency in using social media platforms, analytics tools, and communication management systems.
  • Excellent written and verbal communication skills, with a creative flair for storytelling and visual content creation.
  • Strong organizational skills and the ability to manage multiple projects simultaneously in a fast-paced environment.
  • Collaborative mindset with the ability to work effectively with cross-functional teams and stakeholders.
  • Passion for education and a commitment to promoting the mission and values of the community college.
  • A valid driver’s license is required.

EQUIPMENT

  • Work activities routinely involve a high level of expertise with personal computers and peripheral devices.  Photocopy and related office machines are frequently used.  Must be a licensed driver and able to operate a vehicle.
  • A smartphone, tablet or mobile device is helpful for monitoring social media channels on-the-go, responding to inquiries, and capturing content.
  • Digital Camera or Smartphone with Camera: For capturing high-quality photos and videos to use in social media posts and promotional materials.
  • Access to analytics tools provided by social media platforms (e.g., Facebook Insights, Twitter Analytics) for tracking performance and measuring the effectiveness of communication strategies.
  • Platforms such as email, instant messaging, and project management software for collaborating with team members, sharing content, and coordinating campaigns.

 

JOB LOCATION

 

  • The main campus of Cleveland State Community College is the primary workplace.
  • Occasionally travel and work outside of normal business hours both on- and off-campus as events require within service area.
  • Regular travel within the college’s service area is required, including service area high schools, as well as occasional travel to other sites for statewide meetings and other related events.
