General Function: 

 

Responsible for the development and administration of comprehensive admissions, enrollment, and academic record keeping programs and for overseeing the activities of the Admissions and Records office in support of Motlow State Community College mission and Strategic Plan. Responsible for the recommendation and implementation of appropriate admissions and enrollment management policies and decisions to staff in the delivery of direct client services related to college admissions, grades, academic records, registration, enrollments, graduation, and Tennessee Board of Regents (TBR) compliance

 

Minimum Qualifications: 

 Bachelor’s Degree earned from a regionally accredited institution with at least 5 years of experience in admissions or enrollment management.

 

Preferred Qualifications: 

Master’s degree earned from a regionally accredited institution in Higher Education, Student Affairs, Student Success, or related field with seven (7) years prior experience in higher education or enrollment management.

 

Major Duties and Responsibilities:

 

  • Provide leadership, direction, guidance, development, oversight, unit budget management, and policy formation for the Admissions and Records unit; Recruit, train, supervise, train, and support other members of the Admissions and Records team; Ensure compliance with TBR, MSCC, THEC, and other applicable agencies policy
  • Oversees, delivers, and manages all aspects of credit student enrollment and registration program.
  • Provides interpretation and oversight of federal, state, and internal regulations to ensure compliance with federal, state, and internal rules related to admissions, enrollment, state funding reporting and immigration status determination for international students. Effectively communicates with and informs international students about the admission process; complete I-20’s for all international students; maintain all records; PDSO for SEVIS.
  • Administers the preparation of all internal and external student enrollment reports for the institution and TBR to meet all internal and external reporting and audit requirements. Assures the integrity of the college’s applicant, student and graduation databases
  • Analyzes the effectiveness and success of departmental policies, programs and outcomes. Makes recommendations for needed changes to support the college mission and goals
  • Coordinates, oversees, and/or performs all tasks that are necessary to achieve successful enrollment, registrations, and graduation throughout the year at all locations by maintaining validation screens and building beginning of term rules
  • Oversees the duties of evaluating transcripts, graduation evaluations, data entry, application processing, transcript transmittal, data reporting, enrollment certifications, drop/add processing, withdrawal processing, purchasing of supplies, office budget, grade changes, athletic eligibility and other Admission and Records duties
  • Develops data-driven recruitment strategies by effectively utilizing data from a variety of sources to evaluate student characteristics and trends, as well as the college’s market position and competition.
  • Chairs or participates on campus committees regarding undergraduate recruitment and coordinates effectively with academic and administrative units across campus (including deans, department heads, the Dean of Students Office, Success and Innovation, Advising and Student Engagement, the Disability Services, and others) to achieve enrollment goals.
  • Travel to all Motlow campuses, various locations, and events both within and adjacent to the Motlow State service area
  • Represents Motlow College at meetings of admission and records officers
  • Other duties as assigned

 

Knowledge, Skills and Abilities:

 

  • Knowledge of applicable college policies and local, State, and Federal laws, codes, and regulations concerning college pathways, confidentiality statutes and policies as they apply to FERPA, admissions, financial aid programs, and other areas that affect student enrollment and persistence
  • Ability to establish and maintain effective positive working relationships with college executives, faculty, staff, students, prospective students, and other stakeholders on matters pertinent to the college.
  • Ability to collaborate and communicate effectively, both in writing and verbally, with prospective students, current students, college executives, faculty, staff, or other stakeholders on matters pertinent to the college including interpersonal interactions, public speaking, and individual or group presentations.
  • Strong interpersonal skills and the ability to effectively communicate with a wide range of individuals and constituencies in a diverse community.
  • Ability to relate effectively with people of varied academic, cultural, and socioeconomic backgrounds using tact, diplomacy, and courtesy as demonstrated through excellent verbal and written communication skills
  • Strong interpersonal skills and the ability to effectively communicate with a wide range of individuals and constituencies
  • Knowledge of experience in the operation of systems such as  ARGOS, BANNER, and CRM Systems like Slate
