Title: Executive Administrative Assistant for Academic Affairs
Job Summary
The purpose of this job is to provide support to the Office of Academic Affairs, the Vice President of Academic Affairs, and other offices within the Academic college unit regarding budget matters, external contracts, faculty contracts, promotion and tenure processes, class schedules, academic-related student issues, and other academic administrative needs.
Job Duties
Performs academic-related student support functions in Banner including repeat and other overrides, late drop/add functions; late withdrawal processing; maintaining Academic appeals/complaint log.
Enters all purchase requests, extra pay authorizations, academic contracts and MOU’s, and travel for the Office of Academic Affairs and faculty as requested; reviews all instructional travel for policy compliance.
Assist the Academic Affairs Coordinator with and serve as back-up for Faculty Load and Compensation (FLAC) for all full-time, overload, and adjunct contracts for each part of term for all semesters.
Oversight of general office operations, office equipment, office supplies, filing, and paperwork that requires approval of the Vice President of Academic Affairs.
Assist Vice President of Academic Affairs, Deans, and other Academic supervisors in preparing the budget for each fiscal year along with advising/providing input on and preparing any budget changes.
Assist with planning and facilitating college functions and events.
Assist Academic Affairs staff with updating and maintaining Promotion and Tenure processes and other processes related to academic affairs.
Provide administrative support for Academic Affairs staff and Administrative Assistants as needed.
Assist Vice President of Academic Affairs with meeting scheduling, record appropriate committee minutes, and reporting of minutes from committees that report to VPAA.
Maintain and update current list of committee structures and memberships, and provide information to appropriate faculty and staff.
Performs other duties as assigned.
Minimum Qualifications
3 years' experience as Administrative Professional
3 years' experience in Higher Education
Associate degree
Preferred Qualifications
Certified Professional Secretary
BANNER PROD, FLAC, and ARGOS experience
Experience with Microsoft Office
Experience as an executive level administrative professional
Experience in higher education administrative processes
Knowledge, Skills, and Abilities
Ability to effectively analyze data and inquiries, think critically, and make appropriate decisions.
Excellent written and verbal communication skills.
Effective organizational and time management skills
Ability to work as part of a team or work alone without close supervision
Strong interpersonal skills
Pay Rate: $42,161 - $50,593 (Annual salary depending on eligible experience, which is defined by the current compensation plan.)
