Job Title: Executive Secretary of Student Services

Job Grade: 116

Salary Range: $40,081 - $48,075

Campus Location: Walters State Community College - Morristown Campus (Employees are assigned to a “home” location but may occasionally or regularly be required to work at other WSCC locations.)

Job Purpose: The purpose of this position is to be the central hub of communication and information between the Vice President of Student Services, the departments of the division, College Campuses and Centers, as well as community constituents. Responsibilities include providing feedback and resources to students who need assistance, supporting campus deans, coordinating with colleagues and leadership across the institution to ensure best use of time and resources, and providing technical and logistical coordination to the Office of Student Services.

Essential Job Functions:

  • Performs general tasks for the Vice President of Student Services, including organizing, coordinating, and scheduling internal/external meetings. Prepare/edit routine office correspondence, including reports, letters, memoranda, and agendas, and maintain a calendar with appointments and critical due dates. Prepares, enters, and edits budget information, goals, and accomplishments for Student Services. 
  • Work with the Vice President for Student Services and with campus deans and other college offices to process purchase requisitions and other required forms, assist with travel arrangements, authorizations, and claims for office personnel. 
  • Assist with the dissemination of weekly faculty feedback reports to specialized cohorts; assist with outreach to students, including phone and text message communication; assist with student outreach at campus events. Maintain confidentiality. 
  • Assist with library travel and purchase requisitions. Provide student support by working at the circulation desk, checking out equipment as needed. Assist with opening and closing the library. 
  • Assist with College events as needed. 
  • May perform other duties as assigned. 

Required Qualifications:

  • An Associate’s degree or higher.
  • Five or more years of career related experience.
  • Strong written and verbal communication skills.
  • Proficient in all aspects of Microsoft Office Suite.
  • Proficient in Banner.

Preferred Qualifications:

  • Work experience as an administrative assistant in a complex organization.
  • Experience with a CRM.
  • Experience working in student services.
  • Experience with Walters State policies and procedures.

Leadership & Supervisory: This position does not have authority or responsibility for the supervision of others and is not involved in project direction and/or program administration.

The incumbent is supervised with general direction and is more guided by policies and procedures. High levels of interaction with senior and executive employees occur on a regular basis.

Environment & Working Conditions: Working conditions in the office are clean and well-lit, with limited interruptions and a moderate but constant noise level.

Physical Demands (including requirements for travel or working nights/weekends/holidays):

  • Mostly sedentary work, sitting at a desk for most of the workday.
  • Sits at the computer for an extended period of time, utilizing two different monitors and several different software applications, creating the possibility of neck, back, and eye strain.
  • Moves about the office to retrieve documents from the printer, taking documents to the mail room, etc.
