Title: Facilities Associate

Institution: Volunteer State Community College

Job Summary:

This position will provide support for the Manager of Facilities and Director of Plant Operations. This position will schedule bus drivers and use of the buses and schedule use of all Vol State fleet vehicles. This position will schedule and track maintenance for all Vol State fleet vehicles, police vehicles, and buses. This position will provide assistance with requesting and receiving bids for Plant Operations projects and support Plant Operations by opening, accepting and closing related work orders, coding invoices, financial reconciliation of reports, preparing correspondence, and filing.

Job Duties:

Assign and manage bus and fleet vehicle use. Track, maintain, and schedule maintenance for all college vehicles. Facilitate communications via telephone, computerized maintenance Management System, and two-way radio. Perform financial reconciliation of reports. Work in accordance with the Data Protection Act on the disclosure of information, and the Health and Safety at Work Act. Provide support for the Senior Director of Plant Operations in the absence of the Senior Administrative Assistant. Coordination of bids and purchase orders for the Manager of Facilities. Arrange meetings, interviews, and maintain appointment schedule for the Manager of Facilities and Director of Plant Operations, as needed. Other duties as assigned. 

Minimum Qualifications:

High School diploma or GED equivalent.
One (1) year of related experience.

Preferred Qualifications:

Associate’s degree.
Experience using the RFP/Bid process.
Experience working in a facilities role.
Experience with fleet management.

Knowledge, Skills, and Abilities:

Ability to communicate effectively and work cooperatively with a diverse faculty, staff, and student population.
Must demonstrate excellent written and oral communication skills.
Proficiency in Microsoft Excel and Word. Ability to create and maintain spreadsheets, data entry, and create formulas.
Skilled in composing routine letters and preparing reports.
Detail oriented and highly organized.
Knowledge of standard office practices and procedures.
Ability to learn new computer software/web applications.
Ability to become proficient in using maintenance software application and its functioning modules - screen, accept/reject, open/close work orders.
Maintain confidentiality of information.

Pay Rate: $39,352 - $47,222 annual salary depending on experience
