Job Title: Information Processing Specialist of Financial Aid

Job Grade: 114

Campus Location: Morristown Campus (Employees are assigned to a “home” location but may occasionally or regularly be required to work at other WSCC locations.)

Job Purpose: The Information Processing Specialist assists and advises students on all financial aid inquiries including account requirements, account status, SAP status, federal, state, local and institutional awards; conducts data entry of documents that are required for processing of student financial aid applications; reviews information for accuracy and completeness; and manages and maintains student financial aid records.

Essential Job Functions:

  • Responsible for understanding and implementing the rules and regulations of federal, state, institutional, foundation, and agency financial aid to include approximately 17 different awards that apply additional rules to various types of aid.
  • Responsible for counseling students in reference to all areas of financial aid to include all student financial aid offers and balances of aid; withdrawal procedures and the consequences for satisfactory progress; repayment of aid; professional judgments; and appeal policies and procedures for all programs.
  • Responsible for assisting and advising Senators Central, and other campuses personnel on referrals and inquiries; assisting and/or advising students with financial aid inquiries; receiving the documents required for processing student financial aid applications, and ensuring all information is accurate and complete. Responsible for assisting with monitoring student enrollment and attendance; monitoring academic progress to ensure compliance with Title IV requirements; assist supervisor and other staff in reviewing reports; and reviewing Federal Work Study Time sheets.
  • Maintain office filing and general organization; order office supplies as needed; receive and process orders; input travel authorizations and purchase orders; and maintains receipts of all items necessary.
  • May perform other duties as assigned.

Required Qualifications:

  • Associate’s degree in Business, Accounting, Finance, Management or related field.
  • Proficient computer skills and functional experience with ERP systems.
  • Strong interpersonal and communication skills.
  • Ability to work under pressure and handle stressful situations.
  • Ability to manage confidential and sensitive information.
  • Ability to work independently.

Preferred Qualifications:

  • Bachelor’s degree in Business, Accounting, Finance, Management or related field.
  • Experience working with Ellucian Banner ERP system.
  • Two or more years working in a finance or similar office setting.
  • Proficient mathematical
  • Direct Experience working in a Financial Aid Office.

Leadership & Supervisory: 

  • May direct and monitor the work of student workers., May have some responsibility in project direction, and/or project administration.
  • Incumbent works independently most of the time, but supervisor is available for assistance, when needed.

Environment & Working Conditions: Working conditions in the office are clean and well-lit; limited interruptions and moderate but constant noise level.

Physical Demands (including requirements for travel or working nights/weekends/holidays):

  • Sits at computer for extended period of time utilizing two different monitors and several different software applications, creating the possibility of neck, back, and eye strain.
  • Moves about office and campus to retrieve documents from printer, taking documents to mail room, etc.
