Job Title: Information Processing Specialist

Campus Location: WSCC-Sevier County Campus (Employees are assigned to a “home” location but may occasionally or regularly be required to work at other WSCC locations.)

Job Purpose: This Information Processing Specialist for Senators Central is cross trained to assist and advise students in areas of financial aid, admissions/enrollment services, cashiering services, student success and related student services areas. This position is responsible for providing a comprehensive suite of services to students and their families to support students through the enrollment life cycle. The Information Processing Specialist utilizes a variety of software systems and technical programs and has a deep understanding of financial aid and admissions rules, regulations, and institutional, state, and federal guidelines and policies.

Essential Job Functions:

  • Assist and counsel students in reference to all areas of financial aid to include all student financial aid offers and balances of aid, withdrawal procedures and the consequences for satisfactory progress, the appeal process, repayment of aid, professional judgment, applying policies and procedures for all programs. Understand and implement the rules and regulations of federal, state, institutional, foundation, and agency financial aid to include approximately 17 different awards that apply additional rules to various types of aid. Receive, review, and organize required supporting documents, copy, scan and index into BDMS. Assist students with financial account such as: tuition and fees balances, deadlines, payment options, fee-waiver/discount forms. Calculate balances due, authorized aid and other third-party payments. Refer students to EOC representative for professional FAFSA filing assistance. Document student interactions in Banner and/or Slate.
  • Advise and assist students with all aspects of the enrollment process for the student lifecycle, including admissions and enrollment processes for new, readmitted, transfer, transient and continuing students, schedule appointments for campus services and campus visits/tours, assist with submitting enrollment related forms, resolution of holds and directing students to additional support services. Access, analyze and correctly interpret information in Banner to provide a holistic review and assistance with admissions, student accounts, records, and financial aid to provide direct recommendations and resolution. Review, receive, document and scan (as required). Responsible for documenting all student interactions in Banner and/or Slate.
  • Provide cashier and business services, as well as information relative to student financial accounts such as, tuition and fees balances, deadlines, collection agency payments, payment options, fee waiver/discount forms, calculate balances due, deduct fee waivers, authorized aid, and other third-party payments. Receipt and post payments in TouchNet, prepare and make deposits, maintain Accounts Payable petty cash for vouchers, disbursements and purchase card check outs, reconcile and balance accounts at end-of-day, prepare reports and forward to the WSCC Morristown Business Office. Communicate repayment of past due accounts and citations with WSCC Morristown Cashier’s office, as appropriate, to remove any holds. Coordinate, communicate, and obtain support and guidance as needed from the Main WSCC Cashier’s Office. Keep confidential and sensitive information secure. 
  • Answer departmental phones, monitor and respond to department email and text messaging and assist with call, email and text communication campaigns as assigned. Record all student interactions and communication in Banner and/or Slate. Assist with enrollment development and recruitment initiatives, as needed.
  • Assist with other duties as assigned, which may include assisting with the library materials check out and tracking, game room equipment and tracking and assisting with department recruitment initiatives and events, etc.

Required Qualifications:

  • Associate’s Degree in highly related field
  • Ability to communicate effectively with students, staff and faculty
  • Advanced knowledge and demonstrated experience and ability to work proficiently with Microsoft Office

Preferred Qualifications:

  • Bachelor’s Degree in highly related field
  • 2-3 years of work experience with students in a higher education setting (TCAT, Community College or 4-year college/university) or education setting adjacent to higher education (high school preparation/counselors)
  • Demonstrated work experience in financial aid, enrollment services, cashiering and/or related business services
  • Advanced knowledge and demonstrated experience and ability to work proficiently with Banner (or other data management systems), and other technology platforms
  • Demonstrated Banner experience in areas of financial aid and/or business services

Leadership & Supervisory: The incumbent has no authority or responsibility for the supervision of others. The position is not responsible for project direction and/or program administration.

Environment & Working Conditions: Duties are performed in a typical office environment that is clean, well lit, quiet, and temperature controlled.  Special events could require travel or working in an outside environment.

Physical Demand (including requirements for travel or working nights/weekends/holidays):

  • Requires ongoing verbal communication via telephone and in person.
  • Requires mobility needed to travel to other campuses to work with students.
  • Requires sitting as well as eye focus on computer screen for long periods of time and using a mouse and keyboard.
  • Special events may require travel and working outside the normal scheduled work day.
