POSITION SUMMARY

The Payroll Coordinator for the Business Office serves as the primary resource for all aspects of payroll services, maintains compliance with federal laws, monitors, calculates and controls payroll withholdings including, but not limited to, federal income taxes, social security, charitable donations, flexible benefits, retirement, etc.  In alignment with the College’s purpose, mission and values, the Payroll Coordinator aids in the achievement of the vision and mission for the Business Office by supporting all data accuracy and analytic functions for the office. The Payroll Coordinator works collaboratively with other College committees, task force groups, and units to achieve the College’s purpose, mission and values, by providing accurate and appropriate disaggregated data for strategic decision-making. The Payroll Coordinator reports to the Director of Payroll, Personnel Budgets and Employee Services.

ESSENTIAL FUNCTIONS

Program Innovation:

  • Develops, maintains, and enhances payroll processes and procedures to ensure efficiency, accuracy, and compliance with evolving institutional and regulatory requirements.
  • Authors and maintains on-demand reports using appropriate reporting tools to support data-driven decision-making and continuous improvement.
  • Implements technology-driven solutions and system updates to streamline payroll functions and improve user experience.

Organizational Culture:

  • Promotes a culture of accuracy, accountability, and trust through timely and transparent payroll processing.
  • Ensures personnel actions—including raises, terminations, and retirements—are completed in accordance with established policies and procedures.
  • Collaborates with Human Resources, Finance, and departmental staff to support an environment of open communication and mutual respect.
  • Adheres to the guidance of the state, local, or system definitions, regulations, and policies for employee confidentiality
  • Aids in data gathering for related College needs

Fiscal Stewardship:

  • Retrieves and reports appropriate fiscal data for internal, local, system, state, or federal requests, audits, grants, and related queries.
  • Compiles, calculates, and ensures the accuracy of payroll for two monthly payroll cycles, maintaining strict adherence to laws, policies, and Tennessee Board of Regents regulations.
  • Submits all retirement information to various vendors promptly and prepares vendor payments in compliance with established timelines.
  • Receives and enters benefit-related forms, including retirement, leave, beneficiary, 401(k), 457, and 403(b) deductions.
  • Processes and monitors all external forms from governmental entities, including W-4s, garnishments, and child support orders, ensuring compliance with fiscal and legal obligations.

Teaching Excellence:

  • Provides reliable payroll and benefits support that allows faculty and staff to focus on teaching and service excellence.
  • Establishes and maintains payroll calendars that align with academic schedules, ensuring accurate compensation for adjuncts, student workers, and instructional personnel.

Holistic Student Support:

  • Manages payroll functions that directly impact student employees, ensuring timely and accurate compensation to support their educational and financial well-being.
  • Maintains accurate records of leave and benefit balances—including annual, sick, civil, and educational leave—to ensure employees have equitable access to benefits that enhance work-life balance and student service capacity.

Knowledge, Skills and Work Characteristics

  • Ability to review data submitted from various departments, determine validity/correctness of data, and organize data for entry while adhering to local, state, and federal guidelines.

  • Perform accurate mathematical calculations involving statistical and financial matters

QUALIFICATIONS

  • Must possess a Bachelor’s Degree or extensive experience in Payroll or related accounting experience
  • Must possess minimum of 5 years’ experience in payroll/accounting
  • Must possess knowledge of Banner software.

Salary Range: $53,429 - $66,786
