Student Support Specialist

Title:                         Student Support Specialist

Classification:        Full-time, Non-exempt, 12 month

Office Location:     TCAT - McMinnville, 241 Vo Tech Dr., McMinnville, TN 37110 (transitioning to Coffee County Campus)

Hours:                     7:30 am – 4:00 pm Monday- Friday

Supervises:            n/a

Reports to:              Vice President/Coffee Campus Coordinator

 

Minimum Qualifications:

 

  • Postsecondary credential or 3 years’ experience in education, customer service or related field
  • Computer Skills, Microsoft Office Applications
  • General knowledge of technical education
  • Strong abilities in multi-tasking, customer service, interpersonal skills, organization, reporting, and record keeping
  • Must possess a high level of accuracy, self-motivation, strong attention to detail, and the ability to handle a heavy workload
  • Ability to lead, plan, and prioritize projects
  • Ability to work independently or in groups
  • Ability to communicate effectively in writing with excellent public speaking and presentation skills
  • Detailed and results-oriented
  • Must be willing to work a flexible schedule
  • Ability to maintain confidentiality
  • Ability to exercise good judgement in evaluating situations and making decisions.
  • Valid Tennessee Driver’s License

 

Preferred Qualifications:

  • Prior secondary or post-secondary experience
  • Technical Diploma, Associate’s degree, or higher degree from an accredited institution.
  • Experience of Ellucian Banner or other student information systems

 

General Duties:

This non-exempt, full-time position in the Student Services Department will be responsible for the day-to-day operations of the Admissions and Records Office and Front Desk under the supervision of the Coffee County Campus Coordinator.

Key Responsibilities – Essential Job Functions

  • Process requests for transcripts, education verification, student grade/progress records and other information in accordance with privacy laws and TBR policies in a timely manner
  • Process and maintain new and existing admission applications
  • Maintain current knowledge of all college programming
  • Coordinate with multi-campus students as needed on requests for records, transcripts, and other paperwork from permanent records, as well as providing information and other needs to students.
  • Assume responsibility for student registration in the college’s computerized student information system.
  • Handle FERPA documents for students and families.
  • Order transcripts through the Banner System, verify for accuracy, and distribute according to requests
  • Perform daily records Banner processes (enrollment, transcript/diploma processing, student exits, workflows)
  • File all permanent records and scan permanent records as needed to the appropriate systems
  • Greet visitors in person, via Slate, or on the phone, providing customer service and advice regarding general program information, enrollment, registration and college tours
  • Respond to telephone inquiries or email requests for letters of non-attendance, academic standing, and transcript issues
  • Work with instructors to ensure grades and attendance is accurate and posted in a timely manner and weekly attendance monitoring is up-to-date.
  • Support Special Industry and Supplemental course instructors with attendance and grades as needed.
  • Support the Dual Enrollment Coordinator in dual enrollment activities and documentation when needed.
  • Verify completion of all awards in compliance with the program curriculum
  • Assist in compilation of data needed to verify completion, placement and licensure
  • Assist with recruitment activities such as college/career fairs, community events, new student orientation, etc.
  • Assist and participate in preparation for graduation activities and other college events
  • Help with reports when needed.
  • Aid in retention of students through student support services
  • Assist with administrative processes relative to student services
  • Proctor exams as needed
  • Serves on college committees and activities as needed
  • Fulfill annual accreditation duties in the assigned areas
  • Serve as the primary lead for exit processes on the college’s student computerized information system
  • Maintain confidentiality of information exposed to during business regarding students, supervisors, or other employees
  • Serve as Coffee County Campus receptionist after the Coffee County Campus opens.
  • Perform all other duties as related to career and technical education as assigned by the Supervisor, Vice-President, or President

 

Background checks will be completed on all new hires. Instructors will be asked to sign a background release authorizing TCAT - McMinnville to complete a background check which will include the following: Sex Offender Registry, County Criminal &Federal Criminal.

 

Physical Demands and Working Conditions (ADA REQUIREMENTS)

  • Heavy use of a computer
  • Normal standing, sitting, and walking
  • Lifting of boxes weighing approximately 40 pounds or less
  • Operating a motor vehicle to travel within the college service area and in other areas as needed

 

Salary: $30,681-$38,350. Commensurate with experience, education and training according to Tennessee Colleges of Applied Technology salary guidelines.
