Upward Bound Program Assistant

Provide clerical support for the Upward Bound Program. Reports directly to the Director of TRIO Programs. TRIO Programs are funded under Title IV of the Higher Education Act, Upward Bound, Educational Talent Search, and Student Support Services.  In general, these programs provide academic tutoring, personal counseling, mentoring, financial guidance, and other supports necessary for education access and retention. 

Duties and Responsibilities:

    • Serve as assistant to staff in the Upward Bound program.
    • Work with DSCC business office and group travel staff.
    • Purchase supplies for office, summer program, trips, and events following DSCC and departmental procurement and purchasing guidelines.
    • Prepare all reports and documents necessary for the programs.
    • Create, address, and mail various notices including monthly student birthday cards.
    • Work with Upward Bound staff to prepare monthly student stipend report in Excel.
    • Reconcile credit card invoices and cash expenditures. Record and maintain all invoices and receipts of program activities and purchasing transactions.  
    • Prepare travel requests and travel expense claims. Interpret and abide by DSCC travel and purchasing policies.
    • Prepare travel agreements and contracts and determine appropriate spending procedures.
    • Plan and arrange travel events for the academic year and summer program. This includes busing/transportation, hotel/venue reservations, event ticket purchases, meal arrangements, etc.
    • Assist in educational and cultural field trips by driving students when necessary. Serve as student chaperone for week-long summer field trip and monthly cultural trips.
    • Responsible for managing and documenting event records such as trip/event plans, agendas, ticket purchases, reservation confirmations, busing/transportation, and mapping.  
    • Assist Upward Bound staff with maintaining the electronic student database and paper files as required for the Department of Education’s Annual Performance Report.
    • Assist the Director and staff in researching and gathering data required for the completion of grant proposals and Annual Performance Report for Upward Bound.
    • Answer incoming phone calls and direct the calls to the appropriate personnel.
    • Create and maintain program calendars and schedules.
    • Develop program presentation videos, slides, and other recruitment materials. 
    • Update social media profile with event announcements, photos, program activities, student spotlights.
    • Perform onboarding duties for summer teachers.
    • Perform other duties as assigned.

Working Conditions:

Sedentary: Deskwork with occasional overnight travel required for college or program activities. During cultural events and the summer trip extensive walking, longer hours, and student supervision will be required. Must be physically able to maintain faster pace activities during summer program and summer field trip. This may include walking several miles each day of the summer trip.

Minimal Hazard/Exposure: Standard office setting. At least minimal environmental controls to assure health and comfort.

Knowledge, Skills, and Abilities:

Ability to communicate effectively and professionally with internal staff, students, vendors, business associates, and the general public. 

Excellent planning, organizational, and communication skills. Professional phone and email skills.

Computer skills including Microsoft Office, Outlook, Excel, Word, PowerPoint, Publisher, database entry, and video production software.

Basic camera skills.

Minimum Requirements of Education and Experience:

A minimum high school diploma is required. Minimum of three years clerical office experience. Experience working with high school students.  Valid TN drivers’ license required.

Preferred Requirements:

Associate's degree or Vocational/Technical Diploma with coursework including computers skills, business, English, and bookkeeping preferred. 

Certified Administrative Professional certification (CAP), Notary Public.

Two - three years of experience working with students that come from a low socioeconomic background. 

DSCC Banner, Jaggaer eProcurement purchasing, Dynamic Forms experience preferred.

Minimum starting pay is $28,400 annually ($14.57 per hour). With additional experience pay increases to a maximum pay of  $34,100.
